Administrative Assistant II needed to work with the Director of Financial Aid and assist with the dissemination of financial aid information to students, families, college offices, government and private agencies, etc. This position is responsible for assisting students and families with the financial aid application process, document management under FERPA guidelines and overseeing communications including direct mail, electronic communication and the financial aid web pages while providing administrative duties to support both the admission and financial aid staff.
General Administrative: Receives in-person visitors, handles general inquiries via telephone, fax and email directing all to the appropriate parties’ areas of expertise. Assists with yearly brochure update/edits. Coordinates with College Communications, Central Services and mailing house vendors to address printing and mailing needs for the department. Creates mail merges, proofreads/edits all outgoing financial aid award letters and email notices. Updates the website as required. Responsible for mailing all completed financial aid packages to first year and continuing students and retaining copies in Dropbox. Schedules and releases important deadline information to students and staff as needed. Maintains staff meeting minutes and enters travel arrangements for the Director of Financial Aid. Acts as Building Captain for Harding House and attends all meetings. Assists with campus events as needed (some weekend work required). Handles the frontline telephone in the reception area; orders and maintains all office supplies and equipment; serves as main contact to General Services for any building maintenance.
Operations: Assist prospective and enrolled students and their families with requirements to complete and submit their financial aid application.
Document Management: Using OnBase, scan, manage and track all financial aid application documents while exercising confidentiality under FERPA guidelines. Verify and track submitted documents using IDOC and Banner. Temporary member of the Rapid Identity Committee.
E-mail Communication/Web pages: Produce all electronic mail communications for prospective and current students. Serve as the content manager for the Financial Aid web pages. Perform other duties as required.
Other: Assist divisional Operations Team with managing admission applications process, using Slate. Participate in Operations Team meetings. Assist with reception desk and telephone in Admission as needed.
High school diploma or GED; At least three years of responsible administrative experience. Associate's degree is preferred. Occasional evening and weekend work is required (about 4-6 Saturdays per year).
