An Administrative Assistant is needed to assist the Chairs in the day to day operations of their departments while performing a variety of tasks.
Academic and Department Support: Order, assist in preparation of classroom materials. Communication with students in the absence of the professor. Schedule meetings. Support department assessment projects. Record-keeping and data management including class schedules, department major records, competitions and scholarship programs, reports.
Office and/or Facilities Management: including ordering supplies, maintaining equipment (e.g., copiers), submitting maintenance work orders, card access management, mail.
Financial management: including administering payments through On-Base, P-cards, grant management and reporting, reconciling budgets and informing chairs of budget status.
Event Planning and Travel Planning: including making room reservations, managing budget, invitations and RSVP’s , arranging audio-visual support, honoraria, catering, publicity, set-up, nametags or place cards, hosting duties (and/or identify and organize hosts for various points during the stay). Flights arrangements, in-town transportation and hotel arrangements for visitors or student groups.
Communications and Marketing, including website maintenance, bulletin boards, newsletters and event posters, campus calendar entries, social media presence.
New Faculty/Employee Orientation Student Workers: hire, schedule, supervise student workers. Introduce new faculty and other departmental employees to college and department procedures and policies (e.g. expense reimbursement, p cards, copyright) and campus resources. Instruct new employees on use of office equipment.
HS Diploma/GED required; prefer Bachelor's degree. Minimum of 1 year of administrative experience. Computer skills including Excel, Publishing, Photoshop, and Word required. Require excellent communication skills, creativity, organization, manage competing needs of multiple departments, and attention to detail.
This is a part time position working 25 hours per week, 12 months a year.
