To provide a variety of accounting duties and clerical work for staff and student organizations, including processing and entering accounts payable vouchers in Banner and OnBase for the college Union.
Code and enter accounts payable vouchers in Banner and OnBase for the College Union, 900 Room, Duke Family Performance Hall, Ticket Office, Davidson Outdoors and Patterson Court. Process invoices and check request for guest speakers, bands, entertainment and vendors. Process personal reimbursement and travel expenses for guest/staff/students. Obtain all necessary documents to send to Business Services with the accounts payable vouchers.
Student Organizations - Maintain accounts for 70+ organizations funded by the Student Activities Fee. Transfer ATC funds into student organization accounts in the beginning of the fiscal year and zero out all ATC accounts at the end of the fiscal year. Assist students with their organizations accounts including check request, transfer of funds, print outs of budgets and reviewing the budget activity with them. Request checks from student organization fundraising events to designated organizations receiving donation and obtaining the proper paperwork and tax forms.
P-Cards - Review all BOA P-Card transactions for the College Union staff (15). Verify proper receipts are attached and coded correctly.
Maintain College Union 900 Room Imprest Checking Account for 900 Room Bar.
Assist Director and staff members with accounting and clerical duties. Assist in managing and ordering office supplies within budget constraints.
Provide front line interaction with folks who enter the Campus Center Administration Office. Answer questions, greet people, etc.
HS Diploma/GED; At least three years of relevant work experience in accounting and clerical work. Must be able to multi-task, work in a busy environment and handle interruptions. Microsoft Office Databases, accounting background, Banner and OnBase is a plus. Will need to work in student organization databases when transacting business with student organization leaders.
This position is a 30 hour/week; 11 month/yr position (typically with the month of December off).
